Job Title: Production & Studio Assistant

Role Overview

The Production & Studio Assistant is a dynamic, multi-faceted role that sits at the heart of our operations. You will be responsible for ensuring the studio runs efficiently day-to-day and ensuring production is running smoothly and all materials have been ordered. This role requires exceptional organisational skills, adaptability, resourcefulness and an enthusiastic approach to problem-solving.

Key Responsibilities

Production & Sourcing

  • System Management: Assist with ordering and inputting raw materials into Zedonk.

  • Production Ordering: Using zedonk to send PO’s to suppliers, keeping track of deadlines, booking shipments for materials where applicable and ensuring timely arrival.

  • Sourcing: Assist with researching and sourcing new suppliers and factories, following up on related correspondence and ordering.

  • Raw Material Tracking: Keeping and updating a critical path for raw materials during sampling and during ordering for production.

  • Production Support: Assist in liaising with factories, mills and hardware suppliers, and tracking inventory for complex materials and trims.

  • Quality & Repairs: Oversee any repairs and replacement requests from customers, managing the process from start to finish.

  • Managing Freelancers: Making sure freelancers responsible for certain parts of production are on track and being the main point of contact for them.

  • Inventory: Keeping track of inventory at our warehouse and cataloguing it.

Studio Management & Admin

  • Studio Maintenance: Keep a high level of tidiness, cleanliness, and appearance around all areas of the office. Monitor and replenish studio supplies, including office, cleaning, and kitchen items.

  • Equipment Upkeep: Schedule the maintenance of studio equipment, including organising the servicing of sewing machines.

  • Logistics: Arrange and track daily shipments to and from the studio.

  • Admin & Finance: Receive and check invoices, and assist with expenses. Track the working hours of freelance workers and consultants to ensure invoices align and payments are made within correct deadlines.

  • Meeting Coordination: Arrange meetings, greet guests, prepare meeting spaces, and take and type up meeting minutes as required.

  • Travel Arrangements: Assist with booking travel and accommodation for the team.

  • Supplier Relations: Liaise with partners and suppliers, keeping all contact databases up to date.

  • Support: Support the current studio team to ensure daily working runs smoothly.

Candidate Profile

  • Organisational Skills: Exceptionally good organizational skills with the ability to meet deadlines and strictly prioritize workloads in a fast-paced environment.

  • Software Proficiency: Experience with the Adobe Creative Suite, Zedonk, Alibaba.

  • Communication: Strong communication and interpersonal skills, both written and verbal.

  • Attitude: A proactive team player with a highly enthusiastic and adaptable attitude.

  • Industry Knowledge: Previous experience in a studio, e-commerce, or production setting, with an understanding of garment construction and a passion for sustainability.

  • Position Level: This is a junior position that would best suit a recent graduate with a strong interest in fashion.
